New DHS requirements

DHS is requiring all PCA’s to complete a Individual PCA Relationship Acknowledgement Form (DHS-6426-ENG). This form must be completed by the PCA for EACH client they work for. The form must be signed by the client/responsible party and the PCA. A copy of the form is required to be kept in both our employee and client files.
Carefree will be providing copies of the form for completion before 10/1/11. Failure to complete and return the form will result in a $0.50 per hour reduction in pay until the form is completed and turned in to the office. The forms will be provided to the clients/responsible parties and should be kept in the Carefree PCA Care Client Book. We have included a link to the form on the employee page.

New Changes for Family Members

DHS has recently announced the cuts to the PCA program that were included in the last budget session. DHS will be cutting all PCA funding by 1.5% this year and another 1.5% in 2012.
On top of these cuts across the board they are also implementing a controversial 20% cut to any immediate family member working for a recipient, effective 10/1/11. This will affect any PCA related by blood or legal adoption in any of the following ways:
Parent
Sibling (sharing at least one biological/adoptive parent)
Adult child
Grandparent
Grandchild
This does not apply to relationships by marriage, such as step-child/ sibling or in-laws (so long as they meet all other requirements for PCA providers), legal guardians without a relationship above, and Qualified Professionals.
Spouses are NOT allowed to provide PCA services.
All PCA’s are required to report any relationships to Carefree Home Services and to identify the relationship on the time-sheets, immediate termination can occur for any relationships not reported. Please write the relationship below the PCA signature line on the time-sheet.

Vulnerable Adult Mandated Reporting

There is a new mandatory training that all PCA’s of Carefree Home Services are required to complete. It can be done online through DHS at:
http://www.dhs.state.mn.us/DSDTraining/WebManRpt/default.htm
All PCA’s are required to complete the training and enter their name at the end for the certificate of completion. Please print this certificate or save a copy and email or fax the completed certificate to the office.
The training will not be considered complete until we have a copy of the completed certificate in our files. The deadline to complete the training is 10/31/11. PCA’s who do not complete and submit the proof of training will not be allowed to work until it is completed.
If you do not have internet access you may schedule a time to come into the office and complete the training. We also recommend using a public library for internet access. We have also added a link to the training on our employee page.

New email for timesheets

We have a new email for your timesheets. Please send in completed timesheets in PDF or Jpeg format to timesheets@carefreehs.com. You will receive a confirmation once we have accessed your timesheets letting you know that we have received them.

We are discontinuing the use of the Carefree timesheet and transitioning over to a DHS standard style timesheet. We have been having too many problems with the Carefree timesheets being filled out improperly. Using the DHS timesheet will create the uniformity required and make it easier to fill out per DHS regulations. Please remember to enter a line through any days not worked.
Timesheets and payroll calendars have been added to the Employee and Client pages.
